A primary care network in the South West has hailed a digital dictation system as a “game-changer” that has helped save hours in clinician time, easing administrative workloads and enhancing patient outcomes. Mendip Vale Medical Group, which operates across Somerset, Bristol, and Gloucester, serving 85,000 patients, reports that the technology provided by Lexacom has significantly improved efficiency and reduced time spent on non-clinical tasks.

The group, which includes eight sites and employs 300 staff, has been using Lexacom’s digital dictation and document management software for over five years. David Clark, Managing Partner at Mendip Vale Medical Group, noted that Lexacom has allowed the team to streamline their workflows, with clinicians saving up to an hour each day thanks to the system’s ease of use. “One of the benefits of merging and working at scale is being able to share resources. The Lexacom system lets us optimise efficiencies for patient notes and reports across our locations. It means our admin teams can work collectively, wherever they are based, avoiding bottlenecks in workload,” Clark said.

Previously reliant on traditional tape dictation, the move to Lexacom has also made tasks like transcription and document handling much faster. “Our staff used to manually collect, transcribe, and file documents, which took considerable time,” said Clark. “Now, clinicians can record notes digitally and share them instantly with the admin team. This quick turnaround has significantly benefited patients, who receive referral letters and reports faster, giving them quicker access to specialist care and diagnostics.”

With Lexacom’s mobile app, clinicians can also dictate notes remotely, offering flexibility that helps support work-life balance. “This ability to use Lexacom on a smartphone means our clinicians can complete admin tasks when it suits them, allowing them to spend more time with patients during the day,” said Clark.

Dr Joanna King, a GP at Mendip Vale, described Lexacom as an essential tool in the face of increasing patient demand and longer waiting lists. “With limited capacity and longer waiting times for referrals, making changes that allow us to work more effectively and efficiently is crucial,” Dr King said.

The Lexacom system, which features secure data storage and encryption, also aligns with GDPR requirements, a critical aspect for practices managing sensitive patient information. Clark highlighted that the software allows controlled access to patient records, reducing the risk of data breaches and ensuring only authorised staff can view or edit documents.
